Create and edit contacts

Contacts are the people and organisations you do business with. Kontala works out who is who for you: a contact counts as a customer once you raise an invoice, estimate, or credit note for them, and as a supplier once you record a bill or purchase order from them. A contact can be both, and the All, Customers and Suppliers tabs on the Contacts page update automatically, alongside the You owe and They owe columns.
Create a contact
- Go to Contacts and choose New contact.
- Enter a First Name and Last Name, an Organisation, or both.
- Add any other details you have, then choose Create new contact, or Create and add another to keep going.
Key fields
- Email and Billing Email. When you email an invoice or a statement, Kontala pre-fills the address with the billing email when set, otherwise the main email.
- People. Extra people at the organisation, for example whoever handles invoices, each with their own name, email, job title and telephone. Choose + Add another person.
- Invoicing Address and Delivery Address. The delivery address is optional, and Copy from invoicing address fills it in one click.
- Invoicing Options. The contact's Default Payment Terms in days, Charge VAT setting, VAT Registration Number, and Invoice/Estimate Language.
- Contact Bank Account Details. The contact's Sort Code, Account Number and Recipient name.
Edit a contact
Open the contact from the list, choose Edit, make your changes, then choose Save changes.
Archive or delete
Archiving retires a contact without deleting anything: it disappears from the contact pickers while its existing documents keep working. Choose Archive from the row menu or the contact's page, and restore it any time from the Archived tab. Delete is only offered while a contact has never been used on a document.
