Convert an estimate to an invoice

When the customer accepts your price, you can bill it without retyping a single line.
Convert the estimate
- Open the estimate. Convert to invoice appears once the estimate is marked as sent, whether or not you have chosen Mark as Approved.
- Choose Convert to invoice.
Kontala creates a draft invoice and opens it straight away. An estimate needs at least one line item before it can be converted.
What carries over
- The contact, the currency, and every line item, including any links to your Products & Services catalogue.
- The invoice is dated today and takes the next reference from your shared number sequence, so it gets its own number rather than reusing the estimate's.
- Payment terms are not set for you: choose them on the draft invoice.
- The estimate's notes stay on the estimate and do not carry over.
The draft invoice behaves like any other: review it, then issue it when ready. See Create an invoice and Invoice statuses.
After converting
The estimate's status changes to Invoiced and it locks for good, with a banner linking to the new invoice via View the invoice. An estimate can only be converted once.
Estimates with tracked stock
Converting moves no stock, because the new invoice is still a draft. If a line is linked to a tracked stock item and you do not hold enough, Kontala shows a Not enough stock warning listing the shortfall. You can choose Convert anyway, but you will need to receive the stock before you can send the invoice.
