Tracked inventory
How to enable stock tracking on an item in Kontala and what changes once quantities and values are tracked.

Tracking an item tells Kontala to keep a live count of the units you hold and what they cost you, on a first-in, first-out (FIFO) basis.
Turn on tracking
- Go to Products & Services and open or create the item.
- In the Inventory section, tick Track inventory item. A tracked item needs both I purchase this item and I sell this item enabled.
- Check the Cost of Sales account in the Purchase section. This is where the cost of sold stock posts, and it defaults to Materials.
- Choose Create item or Save changes.
Creating a tracked item with stock already in hand? Enter the Opening quantity and the Opening balance, what that stock cost you to buy. These fields are only available while creating the item.
What changes once tracked
- The item's page shows Stock on hand: the units held, their Total value, and the Average cost. The items list shows the quantity too.
- Stock now moves only through documents: bills bring stock in and invoices take it out. There is no manual stock adjustment.
- You cannot sell below zero. Marking an invoice as sent is blocked if a line needs more units than you hold, and the message names the item that is short.
- Each sale posts a cost of sales at the actual FIFO cost of the units sold, to the item's Cost of Sales account.
Tracking locks once stock moves
Once any stock has moved for an item, Track inventory item can no longer be unticked; create a new untracked item instead if you need one. A tracked item can only be archived once its stock on hand is zero.
