Email receipts to your expenses

Every member of your organisation has a personal receipts address. Forward receipts to this address to create draft expenses automatically.
Find your address
- Open the account menu (the button showing your company name, top right) and choose My Details.
- Your address is shown in the Email receipts row, with a Copy button next to it.
The address is created the first time you look, and it stays the same after that. Owners and admins can also see a team member's address by opening that person under Users.
What happens to an emailed receipt
Each attached file becomes a separate draft expense for the owner of the address, exactly as if it had been added with Smart upload: the receipt is attached, read, and the details filled in. Kontala accepts PDF, JPEG, and PNG attachments up to 20 MB.
If the receipt is the body of the email itself, with no attachment - an Uber or Amazon receipt, say - Kontala saves the email as a PDF and captures that instead.
The new drafts appear in your list under Money Out and Expenses with the status Draft. Open one, choose Edit, review the filled-in details, and save. Then submit it for approval as usual.
Good to know
- Only email sent from a team member's registered email address is accepted; mail from anyone else is ignored. There is no need to keep the address secret.
- The address decides whose expense it becomes, so a colleague can forward a receipt to your address on your behalf.
- Sending the same file twice does not create a duplicate - Kontala spots the repeat and skips it.
