Smart upload receipts

Let Kontala read a receipt or supplier invoice with Smart upload and fill in the expense details for you.

Smart upload reads a receipt or invoice and fills in the expense for you. You review the details and save - nothing is recorded until you do.

Capture a receipt

  1. Go to Money Out, choose Expenses, then Add new and Out-of-pocket expense.
  2. In the Attachment card, choose Smart upload.
  3. Pick what you are uploading: Scanned receipt for a photo or scan of a till receipt, or Formatted invoice for a supplier PDF invoice. Each routes to the right reader, and the invoice reader also picks up the supplier's VAT number.
  4. Choose the file - a PDF, JPEG, or PNG up to 20 MB.

Kontala creates a draft expense, attaches the file, and opens it with a "Reading" banner while it works. After a few seconds the banner confirms the fields have been filled in from your file.

What Smart upload reads

  • The Supplier name, and on formatted invoices the Supplier VAT number.
  • The Dated field, the Total value, and the VAT amount.
  • The Invoice number and a Description built from the supplier and the items on the receipt.

If you have filed expenses from that supplier before, Kontala also suggests the Category you usually use. Otherwise the draft is filed under Sundry Expenses until you pick one.

Review before saving

Check every filled-in field against the receipt, correct anything Smart upload misread, then choose Save changes. If the file could not be read, Kontala says so and you simply enter the details yourself - the receipt stays attached. Choosing Cancel discards the captured draft.

Once saved, the claim is an ordinary draft expense, ready to submit for approval. You can also email receipts to your expenses without opening Kontala at all.
