Mark a return as filed

Record a VAT return that was submitted outside Kontala, and lock its period.

Sometimes a return is submitted outside Kontala - by your accountant, through other software, or before you moved to Kontala. Marking it as filed keeps your records straight without sending anything to HMRC.

Mark a return as filed

  1. Go to VAT and open the period.
  2. Choose Mark as filed.

You need the Full Access permission level, the same as for submitting online - see User permission levels.

What it does

  • Kontala snapshots the return's figures as they stand, and the status changes to Marked as filed.
  • The period locks: transactions dated inside it can no longer be added, edited, or deleted, exactly as with an online filing. See After you file.
  • Nothing is sent to HMRC - this only records the filing in Kontala.

Because the figures are snapshotted from your records at that moment, review the return first and make sure it matches what was actually submitted to HMRC.

Good to know

  • Once a return is marked as filed, the filing buttons disappear and there is no undo in the app. If you marked a period by mistake, contact our team.
  • If you are connected to HMRC, Submit to HMRC is the better option for current periods - it files the return for real and stores HMRC's receipt.
