Bills that buy stock
Last updated 20 July 2026.
When a bill buys stock you track, point the line at the item instead of a spending category. Kontala then treats the purchase as inventory, not an expense.
Add a stock line
- On the bill, choose Add line.
- Instead of picking a Spending category, use the Or a stock item picker and choose the item. Picking an item files the line to its stock account for you, so the category stays empty.
- Enter the Quantity and the Unit price (excl. VAT) you are actually paying this supplier. The price pre-fills from the item's cost price, and you can change it.
- Choose Create and finish.
A line takes either a category or a stock item, never both, and the picker only offers active items that are marked as tracked and purchased in Products & Services. See Tracked inventory for how to set an item up.
What happens to your stock
When you save the bill, the line's net cost lands on the item's stock account and the quantity you bought is added to the stock on hand. Each purchase is remembered at its own cost, and those costs are released to cost of sales as you sell, oldest first. See Stock movements for the full picture.
Bought stock out of your own pocket instead? The expense form has a Stock Purchase category that works the same way: pick the tracked item and the quantity, and your stock increases when the claim is approved.
