Complete or edit a pay run

Edit payslips while a pay run is still a draft, then complete the month with Run & Report to lock it in.

While a pay run is a draft you can change any payslip on it. Completing the run locks it.

Edit a payslip

  1. On the draft run, choose Edit Payslip next to the person.
  2. Change what you need across the sections: Pay (such as Basic Pay, Overtime, Bonus, and Commission), Statutory Pay, Deductions, and Tax & NI (their Tax Code, NI Category Letter, NICs calculated as, and the Week 1 / Month 1 basis flag). You can also leave a Comment.
  3. Choose Save changes. Kontala recalculates the tax, NI, and net pay.

Student loan deductions and hours worked are not yet included in the payroll calculation or the HMRC submission, so those fields are shown but disabled.

Edits apply to this payslip only. To change what comes up every month, edit the person's profile instead, then use Refresh pay run on the draft - see Prepare a pay run.

Complete the run

  1. On the draft run, choose Run & Report.
  2. Kontala first checks that every employee has the identity details HMRC requires: name, date of birth, gender, and home address. If anything is missing, the run stays a draft and the message names the employees to fix - see Set up payroll.
  3. The run's status changes to Completed, the figures are recorded in your accounts, and the month's Full Payment Submission is prepared for HMRC - see Send RTI to HMRC.

After completing

A completed run is locked: its payslips are read-only, and later months build on its year-to-date figures. So check a draft carefully before you complete it.
