Create items
Last updated 20 July 2026.
An item is anything you sell or buy often enough to be worth saving: a product, a service, a day rate. Save it once and every document line starts pre-filled instead of typed from scratch.
Create an item
- Go to Products & Services and choose New item.
- Enter a Code, a short unique reference such as TSL-Black, and a Name.
- Tick I sell this item, I purchase this item, or both.
- Fill in the defaults for each side, then choose Create item.
Sale and purchase defaults
If you sell the item:
- Sale price per unit, excluding VAT. It pre-fills invoice lines.
- Tax rate, the VAT rate the line starts with.
- Description, the wording the line starts with. Leave it blank to use the item name.
If you purchase the item, the Purchase section takes a Cost price per unit excluding VAT, which pre-fills stock bills, plus its own Tax rate and Description.
Everything an item pre-fills stays editable on the document.
Find, archive and delete items
The items list shows each item's code, name, cost price, sale price and, for tracked items, the quantity on hand. Search by code or name, and filter between Active, Archived and All.
Open an item and choose Archive when you stop offering it: an archived item cannot be added to new invoices or bills, and Restore brings it back. Delete is only offered while an item has never been used on a document.
