Use items on documents
Last updated 20 July 2026.
Items save you typing on every document. Pick one and the line fills itself; type over anything that should be different this time.
On invoices and estimates
When you add a line to an invoice or an estimate, an Item picker sits at the top of the line dialog, listing every active item you sell.
- Pick the Item.
- The line fills with the item's sale description, unit price and VAT rate.
- Change anything you like: every field stays editable.
On a foreign currency invoice the sale price is converted into the invoice's currency for you. Credit note lines offer the same picker.
On bills and purchase orders
A bill line books to either a spending category or a stock item, never both. For stock, pick from Or a stock item instead of choosing a category: the line fills from the item's purchase defaults, and Kontala files it to the item's stock account for you. Only tracked items marked as purchased appear here - see Bills that buy stock. Purchase order lines work the same way.
Overriding a line never changes the item
Picking an item copies its defaults onto the line, and from then on the two are independent. Editing the line does not update the catalogue item, and editing the item later does not rewrite documents you have already created. To change what future lines start with, edit the item itself in Products & Services.
