Create a credit note
How to raise a credit note in Kontala, either from a sent invoice or from scratch, and send it to your customer.
Last updated 20 July 2026.
A credit note reduces what a customer owes you, for example after a return, an overcharge, or a cancelled sale.
Create one from an invoice
The quickest route is from the invoice you are crediting.
- Open the sent invoice and choose Create credit note.
- Kontala creates a draft credit note with the same contact, currency, and line items, and opens it.
- Adjust the lines so they reflect what you are crediting, then choose Mark as Sent on the progress bar.
Create one from scratch
- Go to Money In, then choose Credit Notes.
- Choose New Credit Note.
- Pick a Contact, check the Credit note reference (auto-numbered, and you can change it), and set the Credit note date and Currency.
- Choose Create credit note, then add lines with Add credit note item.
- Each line has a Quantity, Details, Unit price, and its own VAT rate, and you can pick an Item to fill the line from Products & Services.
- Choose Mark as Sent when it is ready.
Picking a tracked item returns its quantity to stock when the credit note is sent.
Drafts work like draft invoices: Edit and Delete are available until you mark the credit note as sent, and Make Draft reopens a sent note that has not been applied or refunded.
Send it
Open the credit note and choose Save as PDF to download it, or Email credit note to send it with the PDF attached. The email compose screen works exactly like emailing an invoice.
