Record an invoice payment
Last updated 20 July 2026.
Payments are recorded from your bank, so an invoice is only ever marked as paid by real money.
Explain the bank transaction
When the customer's payment appears in a bank account in Kontala:
- Go to Banking and open the account.
- Open the money-in transaction for the payment.
- Set the Type to Invoice Receipt.
- In the Invoice field, choose the invoice. The picker lists your outstanding invoices with the amount still due on each.
- Save the explanation.
The invoice updates straight away: its paid amount rises, and its status becomes Paid once the total is covered. If the payment covers only part of the invoice, the invoice's progress bar shows Part paid and the rest stays due. For the explaining flow in full, see Explain a transaction, and for splitting one bank line across several things, see Partial explanations.
Settle an invoice with a credit note
An invoice can also be settled, in full or in part, by applying a credit note to it. On a sent invoice with an outstanding balance, choose Apply credit note - see Apply or refund a credit note.
Undo a payment
A payment is just a bank explanation, so to undo one, edit or remove the explanation on the bank transaction. The invoice's paid amount and status update to match. See Correct an explained transaction.
