Audit trail

Use the Audit Trail report in Kontala to see who created, edited, deleted or changed the status of any record, and compare the before and after values.

The Audit Trail is your organisation's activity log: every record created, edited, deleted, or moved to a new status, and the person who did it. Use it to answer "who changed this, and when?" - whether you are checking a figure, training a new colleague, or satisfying an accountant.

Run the report

  1. Go to Reports and choose Audit Trail. The most recent activity is listed first.
  2. Narrow it down with the filters:
    • From and the date beside it - the period to cover.
    • User - one person's activity, or All users.
    • Item type - one kind of record, such as an invoice or a contact, or All item types.
    • Search the audit trail - free text, for finding a particular reference or name.
  3. Choose Apply.

Use Previous and Next to page through the results, and Results per page to show 25, 50, or 100 at a time.

Read the report

Each entry has four columns:

  • Date - when the change happened.
  • User - who made it.
  • Item - the record affected. Where it has its own page, the item links straight to it.
  • Action - a coloured pill reading Created, Updated, Deleted, or Status changed.

See what actually changed

Choose View History on any entry to open the before-and-after comparison. It lists each Field that changed, with its Before and After values side by side, so an edit to an amount or a date is unambiguous.

Things worth knowing

  • The trail is a record, not a workspace: entries cannot be edited or removed by anyone.
  • A deleted record still appears here, so nothing vanishes without a trace.
  • Editing a document does not overwrite its accounting entries either - Kontala posts a reversal and a replacement. See Account transactions to follow that on the ledger side.
  • The Audit Trail needs the Tax permission level or above, since it covers the whole organisation - see User permission levels.
