Salary report

Use the Salary report in Kontala to reconcile one employee's payslips against what they have actually been paid across a tax year.

The Salary report puts one employee's payslips next to the money that actually left your bank, for a whole tax year, and shows the running balance between the two. It answers the question payroll alone cannot: have we actually paid them?

Run the report

  1. Go to Reports and choose Salary.
  2. Pick the Employee.
  3. Pick the Tax year.

Read the report

The report opens with a Brought forward row - the balance carried in from before the tax year began - so the running total always has a starting point.

Then one row per event, with five columns:

  • Date
  • Description - the payslip or the bank payment.
  • Owed - what a payslip added to the employee's entitlement.
  • Paid - what a bank payment settled.
  • Balance Owed - the running total after that row, ending in a Total.

Each row links to its source: a payslip row opens the payslip, and a bank row opens that transaction's explanation.

What the balance is telling you

  • A positive balance means salary has been recorded on payslips but not yet paid out of the bank.
  • Zero means payslips and payments agree - the usual state after a pay run has been paid.
  • A negative balance is not an error. It means the employee has been paid ahead of their payslip.

A balance that will not clear usually means a bank payment has not been explained as salary yet - see Explain a transaction.

Who can see it

Salary is the one report an ordinary employee can open, and they see only their own figures - the employee list contains just them. Owners and admins can pick any employee.

An employee below the Banking permission level will not get the drill-down link on bank rows, though the amounts still show. See User permission levels.
